
Q : I want to be able to run an Accounts Receivable Summary report for my company but exclude specific invoices for specific customers. There are certain invoices on our aging that are tied to a legal issue that must remain on our books so we want to run an Accounts Receivable Aging for internal purposes that excludes these invoices. Is this possible?
A : Yes this is possible. We just have to get a little creative in the way we record the "legal" invoices. Below is an example of an A/R aging and we will assume the remodeling jobs for Robert Allard and Heather Campbell are the ones that we do not want to show up on our "internal" aging because they are the ones in litigation.
An easy way to accommodate this is to create a 2nd Accounts Receivable account in your Chart of Accounts called Accounts Receivable : Legal.
Then you can pull up the invoices in question and change the Account to "Accounts Receivable : Legal."
Now when you run the internal A/R Aging you filter the report to show only Accounts Receivable. You do this by clicking on the Customize Report button, Filters Tab, Choose Account and select the appropriate account via the drop-down menu.
Finally, if you want to run the A/R Aging just for the "legal" receivables you merely filter the report the same way but choose the account "Accounts Receivable : Legal." This will return the report as shown below. Also you can see that I modified the report title to include "Legal" by using the same Customize Report button and choosing the Header/Footer tab to make this change.
